Subscriptions are a great source of steady income, so it's important to stay on top of their lifecycle, their current status, and any updates, billing changes, or cancellations. Managing customer subscriptions is central to keeping things running smoothly, so here's how to do it using the Subscriptions section of the Payments tab.

Date Range

Use the calendar filter to find subscriptions from a specific period. Click the calendar tab, select your "from" and "to" dates, and the system will show the subscriptions that fall within that range.

Type in a customer's name to quickly pull up their subscription details. This makes it straightforward to review their account and handle any queries.

Filters

These filters let you view subscriptions by status, payment mode, or source type. Status can be active, overdue, cancelled, etc; payment mode can be Live or Test; and source type can be Funnel or Website.

Subscription List

Provider

In the far left column of your subscription list, you'll see the provider. The subscription ID is unique to each subscription and helps you track and resolve any order issues.

Customer Name

This column shows the name of each customer who has taken out a subscription.

Source

The source column shows whether the subscription was created via a funnel or website, along with the name of that funnel or website.

Created

The date and time the subscription was created is shown in the created column.

Amount

The subscription amount is shown in the amount column.

Status

The subscription status appears on the right and will show as trial, active, overdue, unpaid, cancelled, failed, incomplete, or expired.

Actions Menu

Click the three dots at the far right of any subscription to view or cancel it.

Clicking Cancel Subscription will cancel it immediately and prevent any future payment attempts. This cannot be undone, so make sure you're certain before proceeding.

View Subscription

Clicking this option opens the order details for the selected customer. These include:

  1. Subscription ID: The identification number for the subscription.
  2. Created: The date and time the subscription was created.
  3. Total Amount: The total amount charged for this subscription.
  4. Payment History: The total payments made, upcoming payment dates, and billing start date.
  5. Payment Provider: The payment provider name, ID, account ID, and who made the payment.
  6. Payment Details: The connected card and its expiry date.
  7. Customer's Information: The customer's name and email. Clicking the URL arrow takes you to the Contact Details section.
  8. Source: The internal order ID, source type, sub-type, identification (click the ID to go to the funnel the contact is linked to), name, step ID, and page ID.

  1. Products: All products the person is subscribed to, along with their price, quantity, and frequency.
  2. Transactions: The provider and charge ID, date and time of the transaction, the amount, and the subscription status (succeeded). Click the Stripe ID or status to go to the Transaction section.
  3. Invoices: Any invoices sent to the customer in relation to their subscriptions, along with all the relevant details.

Subscription Actions

The Actions menu within the subscription details section lets you do more than cancel or share payment update links.

  • Update trial period: If a customer needs more time to evaluate your services before their paid subscription begins, you can extend the trial period here.
  • Pause subscription: Useful when a customer needs a break but doesn't want to cancel entirely. Pausing temporarily stops billing for that customer. The subscription stays paused until you choose to resume it.
  • Resume subscription: If a subscription was previously paused, use this option to restart it. The customer will be billed on the regular schedule from the date you resume the service.

Cancel Subscription

Click the three dots and select cancel to end future subscription payments for that customer.

This lets you update a customer's payment details easily. There are two ways to send the update link:

  1. Send a temporary link automatically via email. Customers can update their payment method directly from the email. Click "Send email" and the system handles the rest.
  2. Alternatively, copy the link by clicking "Copy" and share it with your customer through whichever channel you use.
  3. If there's ever an issue, you can deactivate all shared links, making sure none of the previously shared links for that subscription remain active.

Pause Subscription

To temporarily stop a subscription without losing its data, select this option from the three-dot menu, then set the pause duration and invoice behaviour.

Update Subscription

Selecting this option from the three-dot menu opens a modal where you can change the subscription's end date and add or remove products.

Managing subscriptions doesn't have to be complicated. This tab keeps everything in one place, so each subscription is easy to find and manage. A few clicks and you're in control.
