Chatbots Don't Have to Be Rubbish Any More

You know the old chatbot. "Please choose from the following options." Then it doesn't understand you and hands you a phone number. The new ones actually hold a conversation. Here's what changed, and how we use them without annoying anyone.

Chatbots Don't Have to Be Rubbish Any More

Go on, admit it. When a chat bubble pops up on a website, what's your first reaction?

Mine's "oh God, not you." 😂

Because we've all met the old chatbot. It says "Hi! How can I help?" and then gives you four buttons, none of which are what you want. You type a question. It says "Sorry, I didn't understand that." You type it again, slower, like you're talking to a tourist. It gives you the same four buttons.

Then it tells you to email support.

What changed

The old bots were basically a flowchart wearing a smiley face. Every answer had to be written in advance, and if you went off-script, it fell over.

The new ones run on the same kind of AI as ChatGPT and Claude. That means they:

  • understand normal English, typos, rambling and all
  • answer from your actual information: your services, prices, opening hours, FAQs
  • ask sensible follow-up questions instead of forcing you through buttons
  • remember what you said three messages ago

It's the difference between a vending machine and someone behind a counter.

How we use them

Here's one we built for our own website, for people interested in a Build Day (where we build a chunk of someone's system in a day).

Instead of a form with twelve boxes, you just chat. It asks your name and email, then has a normal conversation. What's your business? What's the most annoying manual job you do every week? What are you using at the moment? Rough budget? When are you hoping to start?

The clever bit happens behind the scenes. Every answer goes straight into the right box on the contact in our CRM. Once it's got the lot, it:

  • creates a new deal in our sales pipeline
  • tags them so the right follow-up kicks in
  • tells Bertie there's a proper, qualified enquiry waiting

By the time a human gets involved, we know who they are, what they need and whether we're a good fit. The customer never filled in a form. 😀

The rules that stop it being annoying

A good bot is mostly about what you don't let it do.

1. Give it a job, not a personality crisis.

One bot, one purpose. Answer questions and qualify enquiries? Great. Try to be your sales team, support desk and receptionist all at once? It'll do all three badly.

2. Feed it your real information.

It should only answer from what you've given it: your services, your prices, your FAQs. If it doesn't know, it should say so, not make something up.

3. Always have a way out to a human.

The moment someone's frustrated, or asks something tricky, or just wants a person, it hands over. No loops. No "I didn't understand that" five times.

4. Let it draft before it speaks.

Most bot platforms have two modes: one where it replies on its own, and one where it writes a suggested reply for a human to approve. Start with the second. Read what it would have said for a couple of weeks. When you trust it, let it off the lead.

5. Sound like you.

Your bot is talking on your behalf. If your business is friendly and a bit cheeky, your bot should be too. Nothing says "we don't care" like a bot that sounds like a bank.

It's not just the website any more

The same AI can work across WhatsApp, Facebook, Instagram, text and email, all feeding into the same CRM. Some businesses even use a voice version that answers the phone. We've got one of those too. She's called Ash, and she's politer than any of us. 😂

The point

Chatbots used to be something you put up with. Now they can be the fastest, friendliest bit of your business: awake at 3am, never in a mood, and never forgetting to write down the customer's number.

The trick isn't the tech. It's giving it one clear job, your real information and a quick way to a human.

Do that and nobody's going to groan when your bubble pops up. 💬
