What it does for you

Lets you send and receive email from the CRM, using your own address, so every conversation sits with the contact.

Steps

  1. Open Settings, then Email Services, and choose to connect a personal or team email account.
  2. Pick Google (Gmail or Google Workspace) or Microsoft (Outlook or Microsoft 365), whichever your address uses.
  3. Sign in to that account when the pop-up appears and approve the permissions the CRM asks for.
  4. Choose which address you want to send from, and send yourself a test email.
  5. If your team uses a mix of Google and Outlook, connect each person to their own address, one at a time. The CRM happily holds both, and each person sends from their own mailbox.
  6. Set one address as the default for automatic emails, so reminders and follow-ups always come from the same place.

You'll know it worked when

  • Your address shows as connected in Email Services.
  • The test email arrives in your inbox and appears in the contact's conversation.
  • A reply to that email shows up in the CRM.

Common snags

  • A mix of Google and Outlook. You do not need to move everyone to one provider. Connect each person to their own mailbox, and choose one default sender for automatic emails.
  • The pop-up is blocked. Allow pop-ups for the CRM in your browser and try again.
  • Your Microsoft or Google admin has switched off app access, so the approval screen fails. Ask whoever manages your email to allow the connection.
  • You signed in to the wrong account in the pop-up. Sign out of the other account in your browser, or use a private window.
  • Emails land in spam or look unbranded. This is usually the domain, not the connection. Add your sending domain and your logo and details (see the related articles) and keep the DNS records exactly as given.
  • Domain and DNS records feel daunting. Send us the name of whoever manages your domain and we will tell you exactly which records to add.
