When you're ready to publish content to Instagram, the Social Planner lets you create, schedule, and manage posts all in one place. Whether you're sharing a standard post, story, or reel, this guide walks you through each step, from selecting media to adding captions and hashtags, so your Instagram content is polished and ready to go.
To begin, click the blue "New Post" button in the top-right corner of the Marketing > Social Planner section.
You'll then see several posting options, including Social Planner Templates and Content AI. This guide covers creating a new post and uploading a CSV file.
Create New Post
Click on the "Create New Post" button from the dropdown menu.
Post To
From the "Post To" dropdown, select the Instagram account(s) you want to publish to. This shows all the accounts connected to the CRM, so you can pick the right one for your audience.
Type Content
In the content field, write your social media message, including rich media, hashtags, and anything else you want to share. You can add formatting like bold or italicised text, images, and videos before publishing.
Follow-up Comment
The "Follow up Comment" feature lets you optimise engagement on your posts by adding a comment that appears shortly after publishing. It works across Facebook Pages, Facebook Groups, Instagram Business Accounts, LinkedIn Profiles, LinkedIn Pages, and X (formerly Twitter) Accounts.
Advanced Options
Under Advanced Options, you can apply your watermark to images, choose categories for better organisation, and add tags to improve searchability and categorisation.
Instagram Options
Choose whether your post should be published on your feed or story, or as a reel.
Add the username of any accounts you want to add as a Collaborator, which will require them to approve the post before being included as an author.
📌Note: Only public profiles can be added as a Collaborator.
Post Preview
Preview your content before publishing to check accuracy, layout, and overall presentation. It's a good chance to catch any errors, make sure your message fits your brand, and confirm everything displays as expected.
Post
Clicking the Post button gives you four sending options:
- Post Now: Sends the post to the selected account(s) immediately.
- Schedule Post: Schedules the post for a later date or time. Choose the date and time from the calendar and time slot.
- Send Post for Approval: Sends the post to a team member for approval. Choose a date and time, select an approver, and add notes if needed.
- Schedule Recurring Posts: Automates posting at regular intervals, such as daily, weekly, monthly, or yearly. You can set specific time frames and select particular days for the posts to repeat, keeping your social media presence consistent.
Save for Later
Alternatively, use the Save for Later feature to save your post as a draft to finish editing later.
Uploading Content via CSV
You can also upload posts in bulk using a CSV file. Click the "New Post" button and select "Upload from CSV."
Make sure the CSV follows the required format (YYYY-MM-DD HH:mm) for date and time, and supports multiple images and videos. A maximum of 90 posts can be uploaded per CSV file.
Once the CSV is uploaded, click on Next.
Select Socials
Select the Facebook account where you'd like to publish the post. The dropdown shows all the linked Facebook accounts connected to the CRM, so you can pick the right one for your audience.
Send for Approval
Tick the checkbox and select the relevant people to send the CSV posts for review by a designated approver before they're scheduled for publication.
Once you click 'Create,' the contents in this CSV will be ready either for review or scheduling.
Instagram-Specific Requirements
When publishing to Instagram, there are specific image and video guidelines:
- Images: Must be in JPG or PNG format, between 10 KB and 5 MB, with a minimum resolution of 250x250 pixels. A maximum of 10 images per post is allowed.
- Videos: Must be in GIF, MOV, or MP4 format, up to 1 GB in size, with a minimum resolution of 1920x3448. Instagram allows one video per post, with a duration of 3 seconds to 15 minutes.
- Reels: Reels follow the same video guidelines, with a recommended 9:16 aspect ratio.
For Instagram Stories, you can upload images and videos, but captions aren't supported. Follow the image and video guidelines above to ensure everything looks its best.
