A warm call transfer lets you transfer a call to another party whilst staying on the line with the client until the handover is complete. This keeps things smooth for the client and means they get personalised support throughout.

Before you can perform a warm call transfer, you'll need to set up your phone system first. Here's how:

Go to the settings section of your account, then find the "Phone Numbers" section. Make sure the system is configured and that you've added a number.

Performing a Warm Call Transfer

Once your phone system is configured, you're ready to go. Follow these steps:

Click the call icon to open the dialer, which is available from any view within your account.

Type the phone number into the Keypad section, or find a contact from the "Contacts" or "Recents" section, then start the call.

Select Warm Transfer

In the dialer, you'll see the option for a warm transfer. Click on it to continue.

Transfer the Call

When you click Warm Transfer, find your colleague's number using the search function. Once you've found it, click the Hold & Call button to dial them.

You can also switch to the keypad to enter the number you'd like to dial. Don't forget to include the area code!

Once your colleague picks up, you can brief them on the situation before completing the transfer with the Merge button. This avoids the blind transfer problem of the call dropping, and means your colleague is prepared before they speak to the client.

The client and your colleague can then continue the conversation privately, and you can click the red button to leave the call.

You can also transfer incoming calls by following the steps above!

Additional Features

  • Call Recording: You have the option to record calls, which can be useful for training purposes or to review conversations at a later time.
  • Call Tracking: Keep track of who you've called and who you haven't with the call tracking feature. This can help you manage your leads more effectively.

Troubleshooting Tips

If you run into any issues whilst performing a warm call transfer, try the following:

  • Make sure your phone system is properly connected and configured in your account settings.
  • Check that you have a stable internet connection, as this can affect call quality and functionality.
