The Send Email workflow action lets you send an outbound email to a contact when your workflow is triggered. Use it when a form or survey is submitted to quickly follow up with a client, or to send emails triggered by certain events and cut down on day-to-day manual actions.

To get started, click on the "+" icon to add a Workflow action, and select Send Email.

Action Name

Rename the workflow action using a consistent, descriptive name that makes its function or purpose clear to everyone on the team.

From Name

In the From Name field, enter the sender's name. You can also click the tag icon to use custom values.

From Email

In the From Email field, enter the sender's email. You can also click the tag icon to use custom values.

📌 NOTE: If the 'From Name' and 'From Email' fields are empty, then the Email will be sent using the Default Values.

Additional Recipients

You can CC or BCC additional recipients by clicking their respective icons.

This opens a field where you can add their email or select a custom value; note that this email won't appear in the Email Stats.

Subject

Type the email subject in this field. You can also click the tag icon to use custom values.

Create Email

Choose how you want to build your email. You can write it directly in the builder (1), use the Smart Builder to create a new template in the Marketing builder (2), or pick an existing template (3).

Message

If you're not using a template, type the message body directly in the message box. You have a range of text editing options to customise your email, including typography, alignment, bullet points, and images.

You can also use custom values for contact info and add trigger links via the dropdowns in the message box.​

Optionally, click "Write with AI" to launch the AI Assistant, then enter your prompt (for example, "Write a promotional email encouraging users to take advantage of holiday discounts"). You can also select a tone; this is optional, and the default is neutral.

When you're ready, click "Generate" and the AI will compose the email.

Add Attachments

To add attachments such as files or images, click the Add attachment button and select what you'd like to include.

Test Emails

Enter an email address in the Test Emails field and click Send Test Email. Once you're happy with how it looks, you're ready to send it to your contacts.

Email Delivery Statistics

Once your workflow is live and contacts have run through it, you'll be able to see the email delivery statistics. Email Delivery Statistics gives you metrics on sent emails, including the number and details of emails delivered, opened, clicked, replied, bounced, accepted, stored, and rejected by contacts, as well as how many contacts have complained or reported the email.

  1. Delivered: Shows the numbers and details of emails delivered to the contacts under this workflow.
  2. Opened: Shows the numbers and details of contacts that opened the mail under this workflow.
  3. Clicked: Shows the number and details of contacts that clicked on the mail.
  4. Replied: Shows the numbers and details of contacts that replied to the mail within this workflow.
  5. Bounced: You can see the numbers and details of emails that bounced.
  6. Accepted: Here you'll see the number of accepted emails.
  7. Stored: You can see the number of stored emails here.
  8. Rejected: This shows the number of emails that were rejected by the contact.
  9. Complained: Here you'll see the number of contacts who complained or reported the email.

Click "View All Statistics" to load the accepted, stored, rejected, and complained statistics.

You can also access the "Stats View" by clicking the pie-chart icon.

This gives you an overview of stats from the last 30 days.

The Send Email workflow action is designed to streamline your communication. Automating email delivery based on specific triggers means timely follow-ups with less manual effort. Whether you use existing templates or write your message directly in the action, detailed delivery statistics help you monitor performance and optimise your email campaigns.
