You can pull Opportunity Custom Values directly into your invoice and estimate templates, bringing opportunity-specific data into the Terms & Notes section. This keeps your invoices and estimates populated with the latest information, without any manual data entry. Fields also update automatically with the latest opportunity details when sent, whether triggered from a workflow or the Opportunity screen.
How It Works
Adding Opportunity Fields in Invoices & Estimates
Go to the Templates section within the Invoices & Estimates tab and create or update an invoice or estimate.
Find the Terms and Conditions feature in Additional Options and enable it to add your text. Then click the Custom Values icon and select the relevant field from the Opportunity Details menu.
When you're happy with the template, save it.
Using Invoice/Estimate Templates in a Workflow
Once you've created your invoice/estimate template with opportunity custom fields, you can automate sending them to clients.
In your workflow, choose the relevant opportunity trigger, such as Pipeline stage change or Opportunity status change.
Add a Send Estimate/Invoice action and select the template with the opportunity fields.
Save the action and publish the workflow to start automating.
Creating an Invoice/Estimate from an Opportunity Card
Opportunity details can also be populated when an invoice/estimate is created from an opportunity card. Go to Opportunities and select an opportunity from the grid or list view. This opens the opportunity card.
Open the Payments section and create an invoice or estimate by selecting the relevant option from the Actions dropdown.
In the Terms & Notes section, insert the desired opportunity field (e.g., {{opportunity.assigned_to}).
Click Send to generate and send the invoice or estimate.
Auto-populating invoices and estimates with live opportunity data reduces manual entry, improves accuracy, and keeps your documentation consistent. It's a straightforward way to save time and tidy up your processes.
Practical Example
If you have a custom field called "tshirt" and use {{opportunity.tshirt}} in your template's Terms & Notes section, the invoice or estimate will automatically include the correct t-shirt size or details whenever a pipeline stage is updated.
