Head to the Calendars tab in the CRM to create and manage your calendars. You can set up booking calendars for appointments, classes, and other events.

To get started, open Calendar Settings inside the Calendars section.

Find the Create Calendar button in the upper-right corner of the page. Click it and a drop-down menu of calendar types will appear.

Have a look through the options to find the one that fits your purpose, whether that's professional, educational, or day-to-day use. Once you've decided, select it and customise your calendar to suit your needs.

Selecting a Calendar Type

There are six types of calendars to choose from:

  1. Personal Calendar: This calendar is used to schedule one-on-one meetings with a designated team member.
  2. Round Robin: This calendar allows you to add several team members to the same calendar for rotational booking.
  3. Class Booking: This calendar allows you to host meetings with multiple clients in the same time slot.
  4. Collective Booking: This calendar allows you to schedule meetings in which several team members will be present with one client.
  5. Event Calendar: This calendar is used to schedule in-person meetings.
  6. Service Calendar: This calendar allows scheduling for in-person or online services and can be linked to your Google Business Page.

General Set Up

Once you've selected a calendar type, give it a name. This will be visible to customers and inside your account.

Select the team member(s) who will use this calendar so appointments appear on their end.

Set a custom URL to personalise the direct link to the calendar.

Set the meeting duration for appointments.

Choose whether to accept payments for each booking by adjusting the toggle.

Click Confirm to save the calendar, or Advanced Settings if you'd like to dig into the finer details.

Advanced Settings

In advanced settings you can adjust things specific to each calendar type, so we'd recommend checking the article for whichever type you selected. The general sections are as follows:

Basic/Service Details

Here you can change the name, URL, and Meeting invite title of the calendar, as well as add logos, team members, and a description. You can also configure how appointments are distributed among team members and set their meeting locations.

Staff & Location

Use this section to assign staff to the calendar and set where meetings take place.

Availability

Here you can adjust availability for each day of the week based on your staff's schedules and add recurring meeting details.

Booking Rules

Set the parameters for this meeting type, such as how often it can be booked and how long it lasts.

Forms & Confirmation

Set the forms you want to use to collect contact information and configure how customer details are gathered during bookings.

You can also allow contacts to add guests to the appointment by enabling the feature. When enabled, you can collect the name and email address of each attendee or just the number of attendees, and choose whether to require guests for the booking.

Scroll down to add extra details to the confirmation page.

Payments

Choose whether to accept payments for each booking by adjusting the toggle (1). If accepting payments, you can let the customer pay a fraction of the total (2) to secure their appointment, charge each attendee (3), including guests, or enable coupon codes (4) for the calendar's checkout.

Notifications & Policies

Set the notification type and recipients, your cancellation and rescheduling policies, and any additional notes.

Scroll down to allow the system to assign contacts to team members and to enable rescheduling and cancellation of meetings.

Or to allow Google/Outlook to send updates to attendees.

Widget Appearance

This section covers the calendar's appearance. You can change the colours, add code, or change the text shown.

The options below let you customise the calendar to match your brand.

Whenever you make changes in Advanced Settings, click the save button in the top right corner.

Optionally, click the Share (1) or Troubleshoot (2) buttons to quickly copy and share your calendar booking link, or to diagnose availability issues, without leaving the current screen.
