Want to automate your appointment setting without stretching the budget? The AI Appointment Booking Bot can help. This action passes contacts over to an AI bot, which chats with them and tries to book an appointment in your chosen calendar.

Here's how to set it up.

Creating The Workflow

Start by adding any workflow trigger, such as Customer Replied.

Next, select the "Eliza AI appointment Booking" action.

Configuring The Action

Select a calendar from the drop-down menu. When a contact responds positively, the Appointment Bot will schedule them into that calendar.

Set the "Total Bot Processing Duration (in Hours)" to define the maximum time the bot will engage with a contact before timing out.

If you want the bot to initiate conversations, tick the "Send First Message?" box. Otherwise, leave it unticked and the bot will only respond to incoming messages.

You can use a template for your messages or create a new one here.

Tick the box if you want the bot to send a confirmation message after successfully booking an appointment. Once you tick the Confirmation Message box, a second box appears where you can configure the success message.

📌Note: If you do not configure a message, the bot will stop processing messages upon successfully booking the appointment.

How an AI Appointment Conversation Ends

The AI conversation can end in one of three ways:

  1. The bot successfully books an appointment.
  2. The bot timed out: the booking was unsuccessful because the lead did not respond to the bot's messages.
  3. Other reasons: for example, no available slots, technical issues, or the bot could not understand the lead's query.

You'll see these three outcomes reflected in an If/Else action that is created automatically. You can add further actions after it to build out a more complete booking workflow.

You can add messages or additional branches along each path for any extra conditions you've set up. That way, even with the bot handling conversations, your business's character can still come through.
