Collective Bookings make it easy to schedule meetings involving multiple team members at once. The feature brings together each team member's availability into a shared calendar, finding a time slot that works for everyone. It's well suited to group interactions like sales calls, technical support sessions, or group interviews.
How to Create a Collective Booking Calendar
Navigate to Calendars, then head to your Calendar Settings.

Select the Create Calendar button in the upper right-hand corner.

Next, choose "Collective Booking."

Fill in The Details
Once you select this calendar type, you'll be taken to the Initial Setup, where you'll complete the first steps to get your calendar ready. Those are:
- Calendar Name: The name shown to leads and customers when they book an appointment.
- Adding Team Members: Select all members who will attend this appointment (minimum 2).
- Calendar URL: Type in the calendar slug here.
- Meeting Duration: How long the appointment should last.
- Confirm: Once you've filled in the basics, click here to save your calendar.

Customising Calendar Settings
To customise the calendar, edit it after the initial setup. This gives you access to all personalisation settings. For this calendar type, the key setting to note is the Primary Owner in the Staff & Location tab.

This team member leads the appointment and, if contact assignment is enabled, is the recipient. The primary owner is typically the first team member added, but can be changed for flexibility in team management. To change the selected user, click Make Owner next to the team member you want to switch to.

Click "Save" once you're happy with the setup.

If needed, click the tools icon to enter the troubleshooting view and run a live test of your calendar.

If everything looks good, your Collective Booking Calendar is ready to accept meetings.
Sharing Your Calendar
To share your calendar quickly, click the arrow icon in the top right.

This opens a panel where you can copy the link or embed code to share with contacts.

Using this calendar type, you can add several team members to a single calendar. When all of them are needed, the CRM will find an available time that works for everyone, keeping the booking process simple.
